REPORTING a non-working weblink or problem with a Database

If you need assistance with a database, or a weblink is broken, please include the URL - as the webmaster manages multiple sites within USGenWeb. Then a brief explanation of what happens so the webmaster can fix it - Examples:

Went to BIRTH database - it is not uploading properly. Missing the M surmanes.

Clicked on the left menu CENSUS link at this URL http://wigenweb.org/wood/
got: 404 Error - Not Found message

REPORTING a possible error on DATA

Before you report that the transcriptions on line has mispelled your family surname, or given names, keep in mind the webmaster can not change transcriptions. Offical records are only as good as the record taker. To change an accurate transcription is sorta like re-writing history. You can't go to the Census taker and ask them to change the census or other government records, so think of it as an official document.

Instead, start a FAMILY HISTORY - and note it on there. You might find that it is a trend, and that over the years, your family used "pet" names, or actually changed their name. People who are searching the official records are going to see it the same way as it is on the transcription. And, you will want to search using that spelling - perhaps other members of your lineage are using it.

NOW, if the transcriber has actually made a mistake, please feel free to report it - of course, with some type of documentation. Thank you!

REPORTING Bouncing Email

If an email is bouncing, the webmaster can not due much about it. Sometimes a researcher has exceeded their limit on emails and it will bounce. If that is happening, try to be patient, and send an email in a couple weeks.

If the email continues to bounce, the webmaster will disable the email until the researcher sends in a change of email. The webmaster does NOT have an alternate email or the webmaster would have changed it.

REPORTING Researcher is not Responding

The webmaster does not have any control over the individuals who volunteer to do lookups. Please try to be patient.

Check your request for lookup. Did you write a complete look-up? Or, are you asking them to do something they did NOT volunteer to do. Most volunteers will not respond back if your request is not valid.

Submission of Photos

Photos must be in JPEG or GIF format -or the webmaster can not process them.

Larger sized photos are better then smaller - no distortion occurs going from LARGE to SMALL.

Label the photos so identification is easy. Just nclude something in the email body, like which file name goes with which description of the photo. Examples:

Smith-Joe.jpg - Tombstone photo of my uncle Joe Smith, taken in 1973

If sending a large number of photo, please send an email with an explanation, so the webmaster can make sure the email box will NOT exceed it's limit and start BOUNCING. Examples:

Have 150 photos of Riverside Cemetery - will be sending 10 at a time until completion. Plan to take photos until all tombstones are finished. Photos are clear enough so you can see the transcriptions.

Submission of Transcripts

If you have information to submit, such as transcriptions, it must be in a WORD doc or txt file or the Webmaster can not open it.

If you are a MAC user, you will need to save transcriptions as a PC compatable file. MAC can convert, Microsoft PCs cannot.

Send all files as an attachment to your email, with a description of what you are sending in the body of the email and how you want your name to appear as the submitter.

If you are unable to do either, cut and paste the information into an email. Please make sure it is readable and not all run-on.

Keep in mind the less work the Webmaster has to do, the faster it will be on-line. Thanks.

Transcriptions will be copyrighted to the author, which should be the person making the submission.

Transcriptions should include a source of the document which was transcribed. For example:

BOOKS - Title, Author, Date of Publication (must be 75 years or older - or permission of author)

CENSUS - Year, indicate Federal or State Census, Region it covers if a partial (state, county, township, city, etc)

NEWSPAPER STORIES - Name of paper, date (month, day, year), city of circulation

Lookups Volunteers Listed

Be courteous of the wonderful volunteers. We want them to continue to volunteer for a long, long time and keep in mind that the vo lunteer is already being very generous with his or her time. Here are a few things to consider -

Please be reasonable in the amount of lookup requests you submit at one time. This is a free service and time is money.

Please read the information provided for that Lookup Volunteer and only ask for infomation that would be within the scope of the lookup. For example, if the volunteer is doing lookups in a particular book, don't ask for a county courthouse lookup or if they can check the census records. Many of our volunteers do not live in WoodCoWI, so even if they were willing, they probably can't or they would have volunteered to do so.

When an index is provided, always check for your specific individual before sending a request. How embarrassing to ask "Can you check for this person?", when they aren't included in the index. The researcher will be frustrated that they did a search for information that clearly would NOT be there. And that is time that could have been spent helping someone else or doing their own research. And, while it is tempting to ask for all the people with the same SURNAME you are looking, in case of a long shot, it is really NOT appropriate to ask for lookups when you have no indication that your family ever even lived in the county.

When you send your request, be sure to include: Surname & Given name, and the reference (Title, Nr and Pg) you would like them to do the lookup. Most volunteers are doing lookups multiple books, counties, and states. The more information you include, the easier you make the lookup, and most likely, a quicker response. Thanks.

General queries, such as "all SMITH surnames", or "everything you have on SMITH", are not appropriate.

When no volunteer is listed for a particular lookup that you need, please do NOT email the webmaster. The webmaster does NOT live in WoodCoWI, and has no way to accomplish the lookup.

Family History

If you are submitting for the Family History pages, you must include the given names and the surnames, a timeframe, and at minimal, something of your family history. However, you can have as much information as you have. And you can add additional information or photos as you learn more about your family. Example:

My grandparents Emil O. & Olga O. Kuehl came to Saratoga Township, Wood Co, WI in the late by the 1920's and lived here until their death's in the 1960's. They are buried in Riverside Cemetery, Nekoosa, WoodCo, WI.

Queries

Please be reasonable in the amount of queries you submit at one time. A good rule of thumb is to keep the request simple. Ask about one individual and perhaps their immediate family. Always tell the person what you already have, and what specifically you need them to check. Even if you have all the information on the spouse, providing the name with some information on your individual with a little background, might help narrow the search. Example:

I am looking for confirmation on the birth date (11 Jul 1896) and exact location of birth of my grandmother Olga O. (nee Schultz) Kuehl. Olga's parents came from Germany, and were known to have lived in NY, MN, and WI. In the 1900 census, Olga was living with her parents in Port Edwards, Wood Co, WI, four years after her birth. But, while Olga is reported to have been born in WI, there is no supporting documentation that I can find. The family left for MN, after the 1900 Census. Olga married Emil Otto Kuehl in 1912 and returned to live in Saratoga township by the 1920's until her death in 1974. Both her and Emil are buried in Riverside Cemetery, Nekoosa, WoodCo, WI. Can you check the county courthouse for her birth certificate or a delayed birth certificate. Thank you


Why isn't my data on-line

You were kind enough to submit information for the website, but are wondering why it isn't up on-line yet. That is understandable. But the webmaster really didn't forget or blow you off.

Data is put on the page in the order it was received. If you don't see it on the website, and you haven't received an email back, it is possible that the webmaster is away on business. Normally, you will receive an email saying thank you for your submission when the data is placed on-line.

Sometimes life happens. The webmaster is only a volunteer. So, if the webmaster is backlogged, you might get an email asking you to be patient and it will be posted as soon as possible.
